BOARD OF DIRECTORS MEETING

MINUTES FOR Saturday June 8, 2024

The Lakewood Board of Directors meeting was called to order by President Annette Wolf 12:42 pm

  1.     Roll Call:

  1.     Treasurer Report – 
  • Total fund in all the accounts is $38,340.54.
  • Total expenses paid for 2024 year to date $9,692.06 
  • Nancy Kubina has received 6 proxies so far.
  • Office supplies spent last year of $700.
  • Nancy Kubina got a debit card.  The goal is to stop writing checks to board members for using their personal accounts.  There will be times we won’t be able to avoid this, but all monthly expenses should not be on a board member’s personal credit card going forward.
  • Our previous attorney we used for association business is no longer in business.  We have to sign the contract before we can use them.  Motion made by Gretchen Peterson to sign the agreement and second by Nancy Kubnia.

Nays – None

  • Nancy Kubina asked what the attorney’s charge was per hour.  Annette Wolf said the fees are between $235-600 per hour.  We are not hiring an attorney at this time, for any business.
  • Emily Lesniak asked why we need an attorney. Annette Wolf said we need to have one if we are updating our by-laws and declaration
  • Annette Wolf said the knox box for the emergency personnel is $600.  The new fire chief said we had an account but the old fire chief never set up for the fire department.  Our account has to be set up and we need to order the knox box.  Gretchen Peterson made a motion to approve the knox box and was second by Emily Lesniak.

Nays – None

  • Annette Wolf said the knox box for the emergency personnel is $600.  The new fire chief said we had an account but the old fire chief never set up for the fire department.  Our account has to be set up and we need to order the knox box.  Gretchen Peterson made a motion to approve the knox box and was second by Emily Lesniak.
  • Approval needed for payment for All Seasons Landscaping for the materials and labor of the stairway.  A motion is needed for:
    • $417.86 Material
    • $800 Labor
    • $286 for stone in the steps.

Gretchen Peterson made a motion to approve and was second to Annette Wolf.

  • Nancy Kubina sent the 2023 and 2024 tax information to Alan Douglas CPA to be filed.  Ginny Palumbo has already filed the non profit paperwork.
  1.     Secretary Report
  • Need approval of the minutes from April 10, 2024 and April 20, 2024.  Motion was made by Gretchen Peterson to approve the minutes from April 10, 2024 and April 20,2024 and second by Annette Wolf.
  • Spypoint Cameras.  Need to set up the account ACH.  Nancy Kubina will set up the debit card.
  • Ginny Palumbo discussed why Gretchen’s bio was not on the website yet.  The bio was sent November 2023 and she had been asking for it for over a year.  The bio is now on the website.
  • Ginny Palumbo said the minutes are copied and pasted and no changes are made to them when posted on the website.  The minutes are not posted until the minutes are approved.  They are all posted.  During the annual meeting Ginny Palumbo publicly announced her grandson’s tragic death in December and posting the minutes were not on her mind.  This statement was made in response to Carin Tio asking why the board can’t review the minutes before they are posted on the website and to why the minutes weren’t posted from the earlier meetings.
  • Lakewoodpoa.org expires on August 12, 2024 and we need to review if we are renewing with Dreamhost.
  • Need to put up something so we can put the names of the volunteers on a board, to show our appreciation.  
  1.     Old Business
  • Signage – two new signs – one is at the front gate and the other sign private property is at the pier.
  • Second fence – Nick Olson would take the tree down and put up the second fence for $500.00.  This has been tabled.  During discussion the board doesn’t know if the tree really needs to come down.
  • Carin Tio did put up a lock box at the gate and shed to keep a key in case of emergencies.  
  • Pool noodles for the swim area.  There was no need to replace the noodles this year.  Will be replaced next year.  When the noodles are removed from the lake, the board will re-string them at that time.  Need to put the swim area in before the lake is filled.
  • Ginny Palumbo brought up the issue of people at the beach putting their personal property on the grassy area of the launch.  Discussion was made that the personal property should not be in their area and they homeowners need to keep the launch driveway clear at all times for people to launch their boats. 
  • Ginny Palumbo brought up putting cinder blocks in the launch area, so the trailers don’t drop off the cement and it will be easier to launch. Pentenwell has this and it makes it easier to launch bigger boats.  Annette Wolf will contact the DNR to see if this is something we can do.
  • Nancy Kubina needs help on deleting the codes at the gate.  Gretchen Peterson said her sister could help.
  1.     New Business
  • The proposed updated duties were passed out for the board to review.  Need to discuss at the next meeting.
  • The 4th of July annual picnic will be done in conjunction with the ATV/UTV parade.  The board will give out $25 Kwik Trip gift cards.
    • Best ATV/UTV decorations
    • Best kid costume
    • Best Adult costume
  • The board will sell tickets for the 50/50 raffle.  Board members will also personally donate raffle baskets for the raffles.

Tickets will be:
1 ticket – $1.00
6 tickets – $5.00
15 tickets – $10.00

  • Will sell the old design t-shirts – $10 for long sleeve and $5 for short sleeve.
  • Gretchen Peterson will purchase flags to decorate the pavilion area.
  • Ginny Palumbo will purchase the food and beverages for the picnic and she will also cook.
  • Gretchen Peterson and Emily Lesniak will sell raffle tickets.  Annette Wolf will get tickets and buckets.
  • Emily Lesniak will get change for the raffle money
  • Carin Tio and Jesse James to sell T-Shirts.
  • Ginny Palumbo will put out a facebook post announcing the picnic details.
  • Annette Wolf will bring speakers.
  • Nancy Kubina to bring music
  • Annette Wolf to make signs to put up about the picnic.
  • Annette Wolf’s daughter may do face painting.
  • Nancy Kubina brought up the water pump needs to be looked at.  The electric bill for the lakefront is really high.  Is it because the pump is running all the time?
